What Is EnduranceFinder Athlete Data?

Every registration sold on EnduranceFinder automatically creates a athlete profile with the registrant's name, email, phone, address, and registration details. Athletes are grouped by email across all your races, giving you a unified database that grows with every registration:

How the System Works

Athlete data collection is fully automatic. Accept registrations and your database builds itself:

Registration Creates a Athlete Record

When someone registers for a race, their name, email, phone number, and any custom question responses are automatically saved. If they've registered before (same email), the new registration is added to their existing profile.

Cross-Race Grouping by Email

Athletes are grouped by email address (case-insensitive) across all your races. One person who registers for five races appears as a single athlete with combined stats: total spend, registrations purchased,races attended, first and last registration dates.

Auto-Tags Assigned Based on Behavior

The system evaluates each athlete's data and assigns tags automatically: VIP (spent $500+ or attended 5+ races), Repeat (2+ races), New (first registration in last 30 days), or Ambassador (3+ races and $300+ spent). Tags update in real-time.

Search, Segment, and Export

Search by name or email with real-time results. Sort by most recent, highest spend, most registrations, or most races. Build smart segments with 20+ fields and AND/OR logic. Export all athletes or any segment as CSV with one click.

What Each Athlete Profile Includes

Contact Information

Name, email, phone number, and mailing address. Populated from ticket purchase forms and custom question responses.

Financial Summary

Total spend (net of refunds and discounts), tickets purchased, events attended, and average order value across all events.

Activity Timeline

Chronological log of all interactions: purchases, email sends, check-ins, and tag assignments with timestamps.

Purchase History

Full table of past orders: event name, date, ticket type, quantity, total amount, and status (confirmed, attended, cancelled, refunded).

Behavioral Tags

Auto-assigned tags based on spend and attendance. Filter your customer list by VIP, Repeat, New, or Ambassador with one click.

Actions & Notes

Add freeform notes, issue store credits, process refunds, resend confirmation emails, and view full order details — all from the profile page.

Combine conditions with AND (all conditions must match) or OR (any condition can match) logic. Text fields support operators like “is,” “contains,” and “starts with.” Number fields support “greater than,” “less than,” and “between.” Date fields support “before,” “after,” and “within last X days.”

Troubleshooting

Athlete count seems low

Athletes are grouped by email. If you have 500 registration sales but 200 athletes, it means many people registered for multiple races. Each unique email is one athlete.

Athlete missing from the list

The athlete database shows registrants for your races only. If a athlete registered through another race director, they won't appear in your list. Verify the race belongs to your account.

Smart segments option is locked

The segment builder is available on Elevate and Amplify plans. On Starter (free), you can still search, sort, filter by tag, and export all customers as CSV.

CSV export missing some fields

CSV exports include: Name, Email, Tickets Purchased, Total Spend, Orders Completed, Member Since, City, and State. Custom question responses and phone numbers are visible in individual profiles but not currently included in bulk CSV export.
